Data Retention Policy
Last updated: February 19, 2026
This Data Retention Policy describes how Yapqero collects, stores, and removes personal and operational data in connection with the use of our services. It applies to all users, clients, and visitors who interact with our platform at kenunoa.com. By using our services, you acknowledge the practices described in this document.
1. Purpose of This Policy
Yapqero retains data only for as long as necessary to fulfil the purposes for which it was collected, to comply with applicable legal and regulatory obligations, to resolve disputes, and to enforce our agreements. This policy establishes consistent standards for how long different categories of data are kept and what happens when retention periods expire.
Our goal is to minimise data accumulation, reduce risk associated with unnecessary storage, and ensure that personal information is not held beyond its useful life. We review our retention schedules periodically and update them as our services and obligations evolve.
2. Scope
This policy applies to all data processed by Yapqero, including data collected directly from users, data generated through platform usage, data received from third-party integrations, and data created internally as a result of service delivery. It covers all storage environments including cloud infrastructure, internal databases, backup systems, and archived records.
This policy does not override any separate data processing agreement or contractual arrangement entered into between Yapqero and a business client, which may specify different retention terms.
3. Categories of Data We Retain
3.1 Account and Identity Data
This includes information provided during registration such as name, email address, organisation name, and login credentials. This data is retained for the duration of the active account relationship and for a defined period following account closure to allow for reactivation requests, dispute resolution, and compliance purposes.
3.2 Service Usage Data
Data generated through your use of the platform, including project files, business plan drafts, saved templates, and usage logs, is retained while your account remains active. Upon account termination, this data is scheduled for deletion within a reasonable window unless legal or contractual obligations require longer retention.
3.3 Communication Records
Emails, support tickets, and chat records exchanged with our team are retained to maintain continuity of service and to document the history of interactions. These records are held for a limited period after the last interaction and then permanently removed.
3.4 Billing and Transaction Data
Financial records including invoices, payment confirmations, and subscription history are retained for a period consistent with standard accounting and audit requirements. This data is maintained separately from personal profile data and may be kept longer where financial reporting obligations apply.
3.5 Technical and Diagnostic Data
Server logs, error reports, performance metrics, and diagnostic information are collected automatically during normal platform operation. This data is retained for a short period sufficient for troubleshooting and security monitoring, after which it is aggregated or deleted.
3.6 Marketing and Consent Records
Records of consent for marketing communications, preferences, and opt-out requests are retained to demonstrate compliance and to honour user choices. These records are kept for as long as the underlying relationship exists and for a period thereafter to address any subsequent queries.
4. Retention Periods
| Data Category | Retention Period | Basis for Retention |
|---|---|---|
| Account and identity data | Duration of account plus 2 years | Service delivery, dispute resolution |
| Service usage and project data | Duration of account plus 90 days | User access, account recovery |
| Support and communication records | 3 years from last interaction | Service continuity, quality assurance |
| Billing and transaction records | 7 years from transaction date | Financial and audit obligations |
| Technical logs and diagnostics | Up to 12 months | Security monitoring, troubleshooting |
| Marketing consent records | Duration of relationship plus 3 years | Compliance, consent management |
| Anonymised and aggregated data | Indefinite | Analytics, service improvement |
These periods represent standard schedules. Specific circumstances may require shorter or longer retention, and any such deviation will be documented internally with a clear justification.
5. Data Deletion and Anonymisation
When a retention period expires, data is either permanently deleted or anonymised so that it can no longer be linked to an identifiable individual. Deletion processes are applied across all storage systems including active databases, backups, and archival copies, though backup purges may occur on a scheduled cycle that extends slightly beyond the primary deletion date.
Anonymised data that cannot reasonably be used to identify any individual may be retained indefinitely for statistical analysis, product improvement, and reporting purposes. Such data is not subject to deletion obligations under this policy.
6. Data Held in Backups
Backup systems are designed for disaster recovery and business continuity. Data included in backups may persist beyond the standard retention period until the relevant backup cycle is purged according to our backup rotation schedule. We take reasonable steps to ensure that deleted data is removed from backups within a defined timeframe following the primary deletion event.
Backups are not used as a mechanism to extend the effective retention of data beyond its intended period, and access to backup data is strictly controlled and limited to authorised technical personnel.
7. User-Initiated Deletion Requests
Users may request the deletion of their personal data at any time by contacting us at contact@kenunoa.com. We will process such requests in accordance with applicable obligations and will confirm the outcome within a reasonable period. Where data is subject to a legal hold or is necessary for the resolution of an active dispute, deletion may be deferred until those circumstances no longer apply.
Upon account closure initiated by the user, we will begin the deletion process for personal data and service content within the timeframes described in this policy.
8. Legal Holds and Extended Retention
In certain circumstances, data that would otherwise be scheduled for deletion may be placed under a legal hold. This occurs when data is relevant to ongoing or anticipated legal proceedings, regulatory investigations, or audit processes. Data subject to a legal hold will be retained until the hold is formally lifted, after which standard deletion procedures will apply.
Legal holds are managed by authorised personnel and documented to ensure accountability and traceability.
9. Third-Party Data Processors
Yapqero works with third-party service providers who may process data on our behalf, including cloud infrastructure providers, payment processors, and analytics platforms. We require all such processors to maintain data retention and deletion practices consistent with this policy and to provide adequate assurances regarding data security and removal.
When a third-party relationship ends, we take steps to ensure that data shared with or processed by that party is returned, deleted, or anonymised in accordance with our contractual requirements.
10. Data Minimisation
We are committed to collecting only the data that is necessary for the purposes described in our Privacy Policy. We do not retain data speculatively or beyond what is reasonably needed. Our teams are trained to apply data minimisation principles when designing new features, processes, and integrations that involve personal information.
11. Security During Retention
All data retained by Yapqero is stored using appropriate technical and organisational security measures. Access to retained data is restricted on a need-to-know basis, and data at rest and in transit is protected using industry-standard encryption. We conduct periodic reviews of retained data to assess whether continued storage remains justified.
12. Changes to This Policy
We may update this Data Retention Policy from time to time to reflect changes in our services, legal environment, or operational practices. When we make material changes, we will update the date at the top of this document and notify users through appropriate channels. Continued use of our services following any update constitutes acceptance of the revised policy.
